ADMINISTRATIVE ASSISTANT JOB DESCRIPTION

OVERVIEW: We seek a motivated, qualified, responsible, organized, and empathetic administrative assistant to empower the work in-office at Austin Region Justice for Our Neighbors.

 


JOB TYPE: Full-time (40 hours per week), non-exempt; expected office hours are Monday through Friday 9:00a.m. to 5:00p.m.; some local travel may be required
COMPENSATION: $14.50 per hour
BENEFITS: Medical, dental, and vision insurance; 4 weeks (20 days) paid vacation days; 40 hours of sick or personal time
REPORTS TO: Legal Director
 

DESCRIPTION OF THE ORGANIZATION
National Justice for Our Neighbors (NJFON), founded in 1999 by the United Methodist Committee on Relief (UMCOR), is a network of non-profit organizations that welcome immigrants into our communities by providing high-quality, free or low-cost immigration legal services and conducting community education and advocacy.
   Austin Region Justice for Our Neighbors (ARJFON) has been providing legal services in the Travis County area since 2014 and is currently representing clients seeking asylum, special immigrant juveniles, and other forms of humanitarian relief.

 

RESPONSIBILITIES:
● Answering and directing telephone calls in English and Spanish
● Responding to clients’ questions about case progress and court dates
● Entering client data, case documents, and case notes into case management software
● Handling and sorting incoming and outgoing mail
● Notarize documents (ARJFON will cover expenses of commissioning as a notary public)
● Filing: copying/scanning/uploading all pertinent mail and documents assigned by attorneys
● Scheduling appointments and maintaining office calendar
● Conducting and processing initial screening of potential clients
● Preparing bank deposits
● Greeting and welcoming clients and visitors
● Maintain office supplies
● Help manage volunteers working in administrative capacities
● Assisting the Executive Director with donor and volunteer tracking
● Making referrals for internal and external services
Additional clerical and support duties as assigned


 

REQUIREMENTS:
● Fully fluent in both oral and written English and Spanish
● Commitment to maintaining strict client confidentiality and lawyer-client privilege
● Commitment to non-discrimination in regards to race, ethnicity, nationality, language, sexual orientation, gender identity, socio-economic status, legal status, religion, ability

 

QUALIFICATIONS:
● Friendly, warm, and professional customer service ability
● Excellent organization and time-management skills
● Strong computer literacy, including experience with Microsoft Office, internet, cloud services, scanning and printing equipment
● Willingness to learn new computer or phone systems and programs
● Ability to work in both a collaborative team capacity and independently
● Healthy emotional maturity and conflict-management skills
● Dedication to the human rights of refugees and immigrants and non-discrimination
● Experience with vulnerable communities, preferably immigrants and survivors of trauma
